About the Job
As the Administrative Assistant, you will support various activities in our Zurich office. This role offers a chance to shape local operations, enhance our company culture, plan and execute events, and resolve logistical challenges in our fast-growing company. This is an exciting opportunity to shape our administrative and facilities operations, champion our company culture, and eliminate logistical obstacles. Key Responsibilities
Adapt our office space in Zurich to the changing needs of the business—helping to create an attractive and productive work environment.
Help to build and invest in the local culture of the company (e.g. by organizing internal events).
Plan and organize internal and external events, such as meetings and conference visits.
Manage and coordinate the administrative tasks within projects as needed.
Handle confidential information with integrity and discretion.
Perform clerical duties such as filing, scanning, and copying documents.
Support new team members during their induction and help them to find their way around.
Support our staff and customers during their travels by arranging itineraries and helping with logistics.
Maintain office supplies inventory by checking stock and ordering supplies as needed.
Roll up your sleeves to get things done and cooperate with external suppliers and partners where necessary.
Assist in the preparation of reports, presentations, and correspondence.
Ensure the office is organized and well-maintained.
Required Qualifications
Previous experience in at least one of the following: hospitality management, events management, real estate team, workplace team, executive assistant, and/or business operations management, administrative/office assistant, or a similar role.
Good command of “Google Workspace” (Docs/Sheets/Slides) or alternatively good command of the MS Office Suite and a willingness to learn new tools.
Excellent verbal and written communication skills.
Strong organizational and time management skills.
Attention to detail and problem-solving abilities.
Ability to work independently and as part of a team.
A love for building culture, with a natural affinity to inject energy, creativity, and progressive thinking into the workplace.
Proficient or native speaker of English and German.
