Our Farecard Department is seeking an Administrative Assistant to join their team!
What You Will Do
Reporting to the Head of the Department, as Administrative Assistant, you will provide efficient and effective administrative and office support services for the Department. This includes preparing a variety of correspondences and reports, assisting with managing the departmental budget(s), processing invoice payments, and maintaining the departmental technical library and other administrative records. You will also provide guidance and direction to departmental staff regarding administrative functions, office procedures and corporate policies.
You will plan and coordinate the daily calendar of the Head of the Department
Provide meeting support for various meetings for the department
Prepare and/or assist in the preparation of documents, presentations, and reports, and distribute to the appropriate parties in accordance with established standards
To this end, establish, coordinate and controls system(s) for document control of administrative and technical design documentation
Liaise with external agencies to provide and maintain access requirements to various online monitoring, reporting and order management tools and systems
As Administrative Assistant, monitor, track and maintain information/data/ records/files, following up, and updating as required
You will provide guidance, expertise and advice, and make recommendations for improvement regarding areas related to assigned work
Liaise with Group/Department staff, other Groups/Departments, and/or external organizations concerning matters regarding assigned work
Assist and/or prepare the department’s administrative operating budget, capital budget, other budgets and/or cost estimates as required for the department, and may monitor expenditures
You will administer the processing of purchase orders/requests for office supplies, graphic services, courier services, etc., control of the departmental credit card(s), payment of associated invoices, and recording of timesheets for contract staff
Participate and assist with special projects and activities and performs a variety of administrative duties related to assigned work
You will be required to participate in the TTC Customer Service Ambassador Program.

What Qualifications Do You Bring?
Your educational background will include completion of a college diploma or university degree in a related discipline (i.e., Business/Office Administration) or a combination of education, training and experience deemed to be equivalent is integral and will contribute to the success in this role.
Your application demonstrates several years of related work experience in a senior administrative role.
