Job description
Administrative Support:
Prepare and distribute meeting agendas, minutes, and other relevant documents.
Handle travel arrangements, including booking flights, accommodations, and transportation.
Assist with expense reporting and reimbursement processes.
Communication and Coordination:
Serve as a primary point of contact for internal and external stakeholders.
Assist in drafting and proofreading correspondence, reports, and presentations.
Assist in the development of communication plans and materials.
Project Support:
Assist in project coordination, including tracking project timelines, deliverables, and milestones.
Collaborate with team members to gather and compile project-related information.
Support the preparation of project proposals, presentations, and reports.
Help maintain project documentation and ensure version control.
Event and Meeting Coordination:
Organize and coordinate team events, workshops, and conferences.
Arrange logistics, such as venue booking, catering, audiovisual equipment, and materials.
Assist in preparing meeting materials, presentations, and agendas.
Take meeting minutes and distribute them to relevant stakeholders.
Skills:
Diploma or Certification in Office Management or Administrative Assistance
Proficient in using office software, including MS Office Suite (Teams, Word, Excel, PowerPoint, Outlook), SharePoint and Confluence
Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
Strong attention to detail and accuracy in work.
Effective verbal and written communication skills.
Strong interpersonal skills and the ability to work well in a team environment.
Knowledge of project management tools (Jira) is desirable.
Fluent written and spoken French (C1), German (C1) and English (B2)
